When a requested item is unavailable, salespeople need to know which alternatives the business allows and what the change means for quantity, price and delivery. Replacing a line without that context can lose the customer’s original request.

Compare directed substitute rules against stock and commercial information, then explicitly choose whether to recompute or preserve values. The quotation retains the original request and substitution decision, with approval and revert options while editable.

A requested item has insufficient stock. The salesperson compares approved candidates, reviews replacement quantity and pricing, and applies one with a reason. Customer approval can be recorded, or the replacement reverted while the quotation is editable.

Define which alternatives the team may offer

Sales or Inventory managers maintain Product Substitute Rules under Sales products. Each rule points from one requested variant to one replacement, with a compatible unit, replacement ratio and optional customer or pricelist scope. An inverse substitution is a separate, deliberate rule rather than an assumed equivalence.

Use the comparison to discuss the replacement with the customer before changing the line. The accepted quotation retains the original request, the chosen rule and the reason, so later review can distinguish what was requested from what was offered.
